Moving From Spreadsheets to a Shared Store System

A careful migration starts with clean product and contact data, then adds live workflows in stages.

Spreadsheets can work well for a small catalog, but shared daily operations expose their limits. Two people edit different copies, a sale is recorded later, and no one knows which stock number is current. Moving systems is also a chance to fix old data.

Clean before importing

Remove duplicate products, standardize names and SKUs, check prices, and decide which old customer records are still useful. Keep a copy of the source file. Do not move every old note simply because it exists.

Start with a narrow workflow

Set up the catalog and opening stock, then run a few real checkout scenarios with staff. Add service and accounting processes once the basic sale and stock movement are understood. Choose a clear cutover date so people know where new activity belongs.

Reconcile after launch

Compare a sample of physical items, transactions, and payments during the first week. ElectroX gives these workflows a common home; accurate opening data and a disciplined cutover make that home trustworthy.
