A Purchase Order Approval Rule for a Small Team
Set a simple approval threshold before a rush order becomes an expensive habit.
By ElectroX Team
Reordering quickly is valuable, but a second buyer can create duplicate stock when they cannot see what was already requested. A short approval rule keeps ownership clear.
## Set limits
Name who can request stock, who checks current quantity, and who approves orders over a chosen amount. Use the same rule for verbal supplier offers.
## Confirm the order
Record item, variant, quantity, cost, expected date, and supplier reference. Compare this against open orders before agreeing to a new delivery.
## Review changes
When a supplier substitutes a product or price, ask for a revised approval. Record the reason so later purchase reviews are understandable.
ElectroX purchase and supplier records can hold the order context beside the stock that eventually arrives.
